Scope of this notice

This notice covers information handling on the TRUVISE website and enquiries made through the WhatsApp, telephone or email channels listed on it. Any additional arrangements for a particular advisory service or document collection will be explained for that service.

Enquiry information and purposes

You may start an enquiry with a business overview. Information you choose to provide may include your name, contact details, company or role, licensing needs and other business information. It is used to respond to your enquiry, understand your needs, arrange advisory discussions and follow up on separately agreed services. Company details, notes, licensing and jurisdiction information in the website form are optional. If information is insufficient, we may need to ask for more context before assessing your needs or answering particular questions. Please do not provide identity documents, banking information or other sensitive documents in an initial enquiry. If formal documents are needed for a service, their purpose and delivery arrangements will be explained separately.

Website form and enquiry assistant

The enquiry form and website assistant process information within the page you are viewing. They do not automatically submit enquiry content to a TRUVISE server or save conversations in the browser's local storage. You can clear the assistant conversation, and reloading the page also clears it. This does not delete messages you have already sent through WhatsApp or email.

Accuracy and authority to provide information

Please provide accurate, complete information relevant to the enquiry or service and notify us of material changes. If you provide information on behalf of a company or another person, ensure that you are authorised to give the instructions and disclose the information, and that you have explained the purposes and obtained any consent required by applicable law. Do not submit personal data obtained without authority. If information is inaccurate or should not have been disclosed, please notify us promptly so that we can verify and address the issue.

WhatsApp and email platforms

When you open a WhatsApp or email draft, its content is passed to WhatsApp or your email application. The platform or application may process draft information before you send the message to TRUVISE. You must still review and send the message yourself. Once we receive your message, we handle the enquiry information under this notice. Third-party messaging and email services process information under their own privacy policies, which you should review before using them.

Access to enquiry information within TRUVISE is limited to personnel who need it to handle the enquiry or relevant service. If a case requires personal data to be provided to external advisers, legal or accounting service providers, or buyers, sellers and their representatives in a relevant company transaction, we will first explain the recipient categories, purpose and arrangements and obtain any consent required by applicable law. Disclosure is limited to information needed for the relevant matter. Information may also be disclosed to regulators, courts or law enforcement bodies where required by applicable law. Retention and security

We retain information only for as long as needed to handle enquiries, provide relevant services, meet contractual or applicable legal requirements, or establish, exercise or defend relevant legal rights, and review the need for retention regularly. When information is no longer needed, it will be deleted or anonymised in accordance with applicable requirements. A deletion request does not necessarily allow immediate deletion of records that must be retained by law or are still needed for a lawful purpose. We will respond to such requests under applicable law. We take reasonable measures against unauthorised access, use, disclosure or loss. Internet transmission and third-party platforms still involve risks and cannot be guaranteed to be completely secure. Delivery and security arrangements for formal documents will be agreed for the particular case.

Website technology and third-party services

This website currently uses no analytics or advertising tracking tools. City photographs are served by this website, while fonts are loaded through Google Fonts, which receives requests from your browser. Website operation and related services may generate technical records such as IP addresses, browser types and access times for operation, security and troubleshooting. If other tracking or information collection features are added, we will update this notice and provide any notification and choices required.

Direct marketing

Browsing this website, making an enquiry or using a service does not automatically constitute consent to marketing. If we propose to use your personal data for direct marketing, we will separately explain the information and marketing categories involved, obtain the consent required by applicable law and provide a free way to stop receiving marketing. Before providing your personal data to a third party for direct marketing, we will obtain the written consent required by law. You can also request that we stop using your data for direct marketing through the email address below.

Access, correction and privacy enquiries

You may ask whether TRUVISE holds your personal data and request access to it or correction of inaccurate data. Please email info@truvisehk.com with the subject "Privacy enquiry" and identify the relevant enquiry or information. We may reasonably need to verify your identity to protect the information. Requests will be handled under applicable law. This notice does not limit your statutory rights.

Updates to this notice

This notice will be updated when information handling changes. Where changes to purposes or disclosure arrangements require notification or consent, we will meet those requirements. Updating this notice alone does not mean that you have consented to a new purpose.
